Proctor Instructions v.9

  1. The web site address for registration, exam session sign-up, and testing is: http://iseducation.org
  2. Students must register with the CCER, sign up for a scheduled exam session, and be verified by a faculty member or a proctor at their institution before they can take the exam.

    All of these steps can take place at the scheduled exam session, provided enough time is allotted. We recommend that you allow up to thirty minutes before the scheduled start of the exam session to accomplish these steps, and that the proctor be logged into a computer in the exam room.

    However, we believe it is preferable to have the students sign-up considerably in advance of the exam. This will allow adequate time for verification of what data the students enter. You must insist that the students fill out the data completely.

    We strongly suggest that you ask your students to secure a gmail.com account. This type of account is permanent, and will enable the ICCP, the CCER and you to keep in touch with your students. This contact information will be very important in assessment of your program objectives. The CCER will offer a service to you to collect data highly relevant to nationally normed program assessment data. BUT, having a usable email address is critical

  3. Students may register with the CCER by going to URL above and clicking on Sign-in and then Click here to register. We strongly suggest that the students use a permanent email account, such as *.gmail.com, so that you can contact them NOW and in the future. You will want to be able to access these students many years later, and it is very difficult if they can not be contacted. Both assessment and accreditation require that you keep in touch with your students to monitor their progress. Make sure to tell the students that their email address will be the Username at the CCER website.

    Once registered, the students can log back in using the password that was e-mailed to them, and then select Register for a CCER exam, picking an exam and an exam session from the dropdown lists. When registering, students should BE CAREFUL to choose the correct institution (their university), exam (eg. IS2002 Exit Exam Spr07), and the exam session (the one to which they are going to appear).

    If a student has taken an exam within the last 30 days they will not be able to register for any exam until the 30 day lockout window has passed. At that point you may schedule another exam to give them the opportunity to try again.

  4. We recommend that the proctor have an additional helper on exam day. It is important that the proctor(s) maintain control of the room and assist students rapidly. Multiple proctors are especially recommended if verification needs to take place on exam day, or if a large group of students are going to take the exam. Students should not be allowed to print out questions or use e-mail or chat during the test. This means that the proctor must inspect each work station to ensure that no additional tasks are opened within the system tray. Most students are cooperative, but proctors must be observant to prevent exam theft. It is the few that can wreck the process.
  5. Students may not use a calculator or any other resources during the exam, including paper, pencils, pens. They may bring NOTHING into the exam room. You may provide blank scratch paper and pencils, but the students must leave the paper and pencils in the room after taking the exam.
  6. To begin the exam, the students should log into the system, using their login and password, and then select Start/resume CCER exam, and pick an exam session from the drop down list. An error message, “Your registration is not verified. Please contact your university administrator or exam proctor” may appear. If so, then the proctor should log in and verify that student with the Manage… | Exam Group | Roster function.
  7. If the exam session is within 30 minutes of starting, they will be asked for an exam password. This password should have been given to the proctor by the faculty contact at the institution or obtained from the CCER. DO NOT give this password to the students.
  8. Have each student lay a picture ID (school or Driver’s License) next to their computer so that you can verify that the name/email they have logged in with is their own. At this time, ask them to look away and you type in the password for them.
  9. After proctor enters password, student may hit [Proceed], which will bring up the Instructions page. The system will not let them begin until the start time of the exam session is reached. On the Instructions page, students may refresh the timer to indicate the time remaining until the beginning of the exam. When this timer expires, students may click the button to proceed to the start of the exam.
  10. There will be extra time (60) for late logins. However, these late logins must be registered by the registration deadline, have selected the correct exam session, and be verified in the system by the proctor before the student will be allowed to proceed to the exam. NOTE: late logins are not possible if the student has also missed the registration deadline.
  11. NOTES for STUDENTS [Please read out loud]:
    1. This is a 3-hour, 258-question exam. All questions are multiple choice. There is only one right answer for each question, so choose the BEST answer in each case.
    2. There is NO PENALTY for guessing, so do NOT leave any answers blank! If you are unsure of a question, you can write the number on your scratch paper and, if there is time remaining, come back to it by using the <Go To> option on the question page.
    3. You should be able to see the entire question on the screen without scrolling (if not, check to be sure that the display resolution is 1024x768). Answers will be automatically recorded as the student clicks the <Next Question> or <Previous Question> buttons or when you click <Finish> on the last question.
    4. You will receive a score report at the completion of the test. You will be able to check this report again by logging back into your account, selecting Exam Takers, and View Score Reports.
    5. Students who pass the exam with a score of 50 or more are immediately eligible to register with the ICCP for the ISA certification following payment of fee, and by agreeing to the ICCP code of ethics. Holders of this certificate have received better job and salary offers.
    6. It is important for proctors to promote taking action on filing for their certification exam. Without the help of proctors most students will forget to act.

      Proctors, Please Actively Promote the ISA to the students. Ask them to Print out a copy of their score report and mail or email it to the ICCP for immediate service and processing.   12. If a known student has not received the password via e-mail, the proctor may log in and look up their password for them.
  13. Proctors—don’t forget to verify candidates after they register! They can not take the exam until they are verified!
  14. The system does not restrict the number of students who sign up for an exam. Make sure there are enough working computers for the entire group. Check the exam session’s roster frequently.
  15. If you think that a problem that a student is having is due to a browser issue, realize that the test system is optimized for Internet Explorer. A solution is to close the browser and log in again using IE.
  16. If a student comes to a question with a figure and only sees a red X where the figure should be, have them close the browser (do NOT click <Finish Exam>), reboot the machine, and log in again. If this does not fix the problem, try another machine.
  17. If you think that secure socket layers (SSL) is causing a problem, call the CCER administrator who is on call. He may be able to assist you quickly enough.
  18. Problems with the score report are possible. Most likely, a score report that does not show a score is due to the exam taker closing the browser rather than hitting the <Finish> button. The student should e-mail the CCER at hlongenecker@usouthal.edu, and someone will compute the score for them.

    However, PLEASE tell the students to hit the <Finish> button when they really are done. Their exam will not be scored if they do not do this.

  19. The proctors should report suspicious student activity to the CCER. For example, there should be no keyboard activity during the test. This might indicate e-mail communication or attempts to print or save exam contents. If students close the browser and leave the room during the test, it is possible that they may be able to access the exam on another computer (if they have access to the exam password and there is time remaining). If a proctor suspects that an early quitter may be attempting to cheat, they should report this to us, so that we may check their response log.
  20. If a problem arises, don’t hesitate to immediately call a CCER administrator. Most of the time there are no problems. However, you may call if you are unsure. We try to have someone available when an exam is going on. We never make system changes when an exam is scheduled.
